Quick Answer
To run a multi-outlet restaurant group in India, set up each outlet as its own billing entity (its own GSTIN, invoice series and payment gateway), control the menu and prices from head office, scope every staff login to the outlets that person works at, and read group and per-outlet numbers from one dashboard every day. On Restrofi this is one owner login: Premium covers 1 to 5 outlets at ₹699 per outlet per month, Chain covers 6 to 12 outlets from ₹9,999 a month, and groups above 12 outlets get a quoted Enterprise plan.
What changes when you go from one outlet to several
A single outlet can run on one person's attention. A group cannot. Three things break first: prices drift because each outlet edits its own menu, head office learns about a weak outlet at month end, and staff logins give people access to outlets they never work at. A multi-outlet setup fixes these with structure rather than more meetings.
- One owner login that holds every outlet
- All-outlets analytics with a per-outlet breakdown
- Menu and prices controlled from head office, synced to outlets
- Staff scoped to one outlet, chosen outlets or the whole organisation
- Per-outlet GSTIN, invoice series and payment gateway
- Loyalty that works at every outlet
- Billing that keeps running when an outlet's internet drops
Step 1: set up each outlet as its own billing entity
In India each outlet usually bills under its own registration, and outlets in different states always do. Give every outlet its own GSTIN, FSSAI number and invoice series so each bill carries the details of the outlet that served it. Connect each outlet to its own payment gateway account if the money should settle to that outlet, which is the usual setup for franchise outlets.
Step 2: control the menu and prices from head office
Menu sync copies the full menu from your primary outlet to one outlet or to all of them in one click. It is started by the owner, and it replaces the receiving outlet's menu. On Restrofi only the owner can change menu items and prices; outlet staff can mark an item in or out of stock. This removes the most common chain leak, which is a price changed at one outlet and never noticed.
- Sync is a manual step, not an automatic push: edit the primary outlet's menu, then sync.
- A sync overwrites the receiving outlet's menu, so a price or item changed only at that outlet is replaced by the primary outlet's version.
- Recipes are kept per outlet. Set them up at each outlet that tracks stock (Stock Autopilot can draft recipes for a whole menu in one pass).
Step 3: give every person the access their job needs
Each staff member is scoped to one outlet, to every outlet in the group, or to a chosen set of outlets, and their permissions apply only at the outlets they were added to. Restrofi has 7 built-in roles and custom roles built from 27 permissions, each staff member gets a personal till PIN, and sensitive actions can require a manager's PIN to approve. Revenue, analytics and customer phone numbers are separate permissions the owner switches on or off.
Step 4: read group and outlet numbers every day
Look at the group total and each outlet side by side: revenue, orders and top sellers per outlet. A daily look catches a slow outlet in days, not at month end. On every paid Restrofi plan the full analytics history is kept and exports to CSV for your accountant or finance team.
Step 5: plan for an internet outage at every outlet
Each outlet can bill through an internet outage on the Restrofi Connect desktop app: it keeps the menu, tables and settings on the billing PC, prints KOTs and provisional receipts, and syncs every order exactly once when the connection returns; the GST tax invoice is raised at that sync. Restrofi Connect runs on Windows and macOS. Outlets that bill only on phones or tablets need a connection, so groups usually put Connect on the billing PC at busy outlets.
Which plan fits your group size
| Plan | Outlets | Price | Fit |
|---|---|---|---|
| Premium | 1 to 5 | ₹699 per outlet per month | Single outlets and groups up to 5 outlets. Every feature, menu sync and group analytics included, billed per outlet. |
| Chain | 6 to 12 | ₹9,999 a month for 5 outlets + ₹1,499 per extra outlet | Multi-outlet groups and chains. Adds dedicated onboarding and SLA-backed support; the WhatsApp two-way inbox is the Diner Engage add-on. |
| Enterprise | More than 12 | Quoted | Groups above 12 outlets. Custom outlet limit, dedicated account manager and custom SLA; talk to sales. |
Restrofi Chain costs ₹9,999 a month for the first 5 outlets plus ₹1,499 a month for each outlet from 6 to 12; yearly it is ₹99,990 plus ₹14,990 per extra outlet. Prices exclude GST. Enterprise is for groups with more than 12 outlets and adds a custom outlet limit, a dedicated account manager and a custom SLA.
What Restrofi does not do for groups today
What Restrofi does not do today: central kitchen management and stock transfers between outlets; ERP, Tally or SAP integration; Zomato and Swiggy order sync; a franchise royalty or fee-billing module. A group that depends on any of these needs a system that includes it.
Frequently asked questions
How do I manage multiple restaurant outlets from one place?
Use one owner login that holds every outlet, with all-outlets analytics, central menu control and staff logins scoped by outlet. On Restrofi the owner switches between outlets from one account and sees group totals with a per-outlet breakdown.
Can each outlet bill under its own GSTIN?
Yes. On Restrofi GSTIN, FSSAI number and invoice series are set per outlet, and each outlet can settle to its own payment gateway account.
Can outlet managers change menu prices?
Not on Restrofi. Menu items and prices are owner-only and reach outlets by menu sync; outlet staff can only mark items in or out of stock.
Can an area manager see only some outlets?
Yes. A staff member can be scoped to one outlet, a chosen set of outlets or the whole organisation, and their permissions apply only where they were added.
