How the Kitchen Display System works

Orders from your QR menu appear on the KDS within one second. Your kitchen team manages them through three stages: New → Preparing → Ready.

What you'll accomplish

You'll understand how to open the KDS on a kitchen device, how orders arrive and flow through stages, and how to mark orders complete.

Before you start

  • You have a tablet, monitor, or any device with a browser in the kitchen.
  • Your menu is live and at least one test order has been placed.
  • You know your KDS PIN (set in Settings or provided by your admin).

Step-by-step guide

    Open the KDS on your kitchen device

    From any browser, go to your Restrofi dashboard and navigate to KDS in the sidebar. Alternatively, open the direct KDS URL bookmarked on your kitchen device. Enter the 4-digit KDS PIN when prompted.

    Understand the three columns

    The KDS shows a Kanban board with three columns: New (orders just placed), Preparing (kitchen has started), and Ready (waiting to be served). Each card shows the table number, items ordered, and elapsed time.

    Accept a new order

    When a new order arrives, it appears in the New column highlighted in blue. Tap the card or the Move to Preparing button to acknowledge it and move it to the Preparing column.

    Mark an order ready

    When the food is plated and ready for service, tap Mark Ready on the order card. It moves to the Ready column, signalling floor staff to collect and deliver.

    Mark as served

    Once delivered to the table, a floor staff member marks the order as Served from the Orders page in the dashboard. This closes the order and removes it from the KDS.

    Use full-screen mode

    Press F11 (or use your browser's full-screen mode) to hide the browser chrome and show only the KDS. This keeps the display clean and prevents accidental navigation during service.

Common issues

Orders aren't appearing on the KDS.

Refresh the KDS page. The live connection uses Server-Sent Events — if the browser tab has been idle for a long time, a refresh re-establishes the connection. Check that the KDS is logged in to the correct restaurant account.

The KDS PIN isn't working.

The KDS PIN is set in Settings → KDS in your dashboard. It's separate from your account password. Ask your account owner to confirm the PIN.

I can see orders on the dashboard but not on the KDS.

Make sure you're viewing the KDS page (not the Orders page). Both show live orders but the KDS has the full-screen Kanban layout.
