Getting Started

Inviting team members

Add your kitchen team, floor staff, and managers to Restrofi. Each role gets the right level of access — nothing more, nothing less.

Available roles

Manager

Full dashboard access — menu, orders, analytics, staff, and settings.

Cashier

Orders dashboard and payment recording. Cannot edit menu or view analytics.

Kitchen

KDS only. Sees and manages orders in the kitchen display. No access to other areas.

Waiter

Live orders and table status. Can mark orders as served. No payment or menu access.

Before you start

  • You are the account owner or have a Manager role.
  • You have the email addresses of the staff members you want to invite.
  • Your plan supports the number of staff you need — check Settings → Billing for your current limit.

Step-by-step guide

    Go to Staff

    From your dashboard, click Staff in the left sidebar.

    Click Invite Staff Member

    Click the Invite Staff Member button at the top right. A dialog will open.

    Enter their details

    Fill in their name, email address, and select their role from the dropdown (Manager, Cashier, Kitchen, or Waiter). Click Send Invite.

    They receive an invitation email

    The staff member receives an email with an invitation link. The link is valid for 48 hours. They click it to create their password and activate their account.

    They log in via the staff portal

    Staff members log in at the same URL as the main app. Based on their role, they'll be taken directly to the appropriate view — KDS for kitchen staff, orders for cashiers, etc.

    Manage staff from the Staff page

    You can deactivate a staff member at any time from the Staff page. Deactivated accounts cannot log in and do not count toward your staff limit.

Common issues

The staff member didn't receive the invitation email.

Ask them to check their spam folder. If it's not there, go to Staff → find their name → Resend Invite. If the 48-hour window has expired, you'll need to delete and re-invite them.

I've hit my staff limit.

Your current plan has a maximum number of active staff accounts. You can either upgrade your plan or deactivate inactive staff members to free up slots.

A staff member can see things they shouldn't.

Check their role in the Staff page. If the role looks correct but access is wrong, email support — role-based access is enforced server-side and we can investigate.
